Claude Projects for a small business: 9 ready assistants for letters, contracts, offers and counterparties

A dedicated assistant for one task, with instructions, company knowledge and examples. Instead of writing a prompt from scratch, you paste a letter, contract or note and get a ready result. I demo them live in 2 minutes.

Industry: Small and medium businesses: office, sales, administration

In short

  • 9 ready projects, each for one task
  • A live demo of each project in 2 minutes
  • Each project: instructions, knowledge files, a sample input and a demo script
  • One shared rule: no invented facts, numbers, dates, legal provisions or prices

About the project

A set of assistants I prepared for small business owners and their teams. It is not a single client rollout but ready projects to demo and adapt: in the demo versions all companies and data are fictional.

The challenge

Most businesses use AI by explaining who they are and what they want every single time, and the result looks different every time. On top of that, the model happily invents legal provisions, amounts and facts unless told not to. Tasks that come back every week, like replying to an official letter, writing an offer after a call or checking a counterparty, still take hours.

Goals

  • One project for one recurring task, with a predictable result
  • Company knowledge in the project, not in one person's head
  • Firm rules: no inventing, with the provision or source
  • A demo that shows the owner a real benefit in 2 minutes

Technical challenges

A narrow scope instead of an assistant for everything

An assistant for everything gives average answers. Each project gets one task, a fixed output format and only the files relevant to that task.

No inventing

Shared style rules apply to every project: no invented facts, numbers, dates, provisions or prices. If something is missing from the materials, the assistant says what.

Data from real sources

The counterparty check uses web search and public registers, and the legal projects cite the provision to verify at the source.

Solution and implementation

The project list

Reply to an official letter, Complaints, Legal trainee, Contract review, B2B offer, PDF report, Check a counterparty, Leads and outreach, and LinkedIn post. A number and version in each name keep things tidy as projects grow.

Pinned projects in Claude

Example: B2B offer

You paste a note from a client call, written on the go. The project turns it into an offer: the client's problem in their words, the effect with the math, scope, three price tiers, risks and one next step. On a second prompt it prepares a branded PDF.

Example: Check a counterparty

You give the tax ID of a company asking for a prepayment. The assistant checks the VAT status and bank accounts on the White List, data from KRS or CEIDG, and lists warning signs, with the source of each.

Example: Reply to an official letter

You upload a letter from an office, and the project says what it is, how serious it is, the reply deadline, and drafts a reply to sign.

How each project is built

Instructions (role, steps, output format), knowledge files for that task only, shared style rules, a sample input for the demo and a 2-minute script. Projects that need the internet have web search on, and projects that deliver a document have file creation on.

Results

A repeatable result

The same task gives the same answer structure every time, no matter who on the team asks.

A first draft in minutes

An offer, a letter reply or a contract review starts from a ready project, and a person corrects and approves it.

Less guessing

The assistant says what is missing instead of making up facts and provisions.

Takeaways

A demo convinces more than a presentation

Two minutes with a real document from the client's industry says more than slides about what AI can do.

Law must be checked at the source

Legal projects speed up the first draft, but in a serious matter a person decides and the provisions must be checked at the source.

Frequently asked questions

What is a Claude project?

A dedicated assistant for one task, with instructions, company knowledge files and chat history. You open the project and paste a letter, contract or note right away, without explaining everything again.

Is this a client rollout?

No. These are ready projects to demo and adapt. In the demo versions companies and data are fictional; for a client I build the projects on their knowledge.

Will a project replace a lawyer or accountant?

No. Legal projects give the provision, an analysis and a draft reply, but in a serious matter a person decides and the provisions must be checked at the source.

What does the live demo look like?

Each project has a 2-minute script. I paste a sample document or question from your industry and show the result right away, on screen.

Can you teach my team to build projects like these?

Yes. I can deliver ready projects or train the team to build them, as part of AI training.
